Privacy Policy

Learn how Record Time handles information for owners, businesses, and employees.

Effective Date: September 21, 2026

This Privacy Policy explains how Renlee Group LLC (“Renlee Group,” “we,” “us,” or “our”) collects, uses, stores, and shares information in connection with Record Time, including the Record Time website, employee time-tracking application, owner dashboard, and related services (collectively, the “Service”).

Record Time is a product operated by Renlee Group LLC.

By using Record Time, you acknowledge the practices described in this Privacy Policy.

1. Information We Collect

The information we collect depends on how you use Record Time.

Business Owner and Account Information

When a business owner or administrator creates or manages a Record Time account, we may collect and process information such as:

  • name or display name;
  • email address;
  • business or company name;
  • authentication information;
  • company code;
  • company settings and preferences;
  • account and company identifiers;
  • trial information;
  • subscription status; and
  • information necessary to administer the account and Service.

Owner authentication is provided through our authentication service provider. Record Time does not store owner passwords as ordinary application data.

Employee Information

Businesses using Record Time may provide information about their employees or workers, including:

  • employee name;
  • employee number;
  • active, inactive, or archived status;
  • associated company; and
  • related timekeeping information.

Employees currently access Record Time using a Company Code and Employee Number provided or established by their business.

These identifiers should be treated as access credentials. Employees and businesses should take reasonable steps to prevent unauthorized persons from obtaining or using them.

Record Time does not currently require or store separate employee passwords or PINs.

Timekeeping Information

When employees or businesses use Record Time to track work time, we collect and process information such as:

  • work dates;
  • clock-in times;
  • clock-out times;
  • recorded work hours;
  • lunch deductions;
  • automatically closed time records, where applicable;
  • missing or incomplete punch information;
  • review flags;
  • edits or corrections made to time records;
  • previous and updated punch information;
  • previous and updated lunch information;
  • information identifying the authorized account user who made certain edits; and
  • timestamps associated with time records and changes.

Business owners or authorized administrators may review and modify employee time records.

Payment and Subscription Information

Record Time uses a third-party payment processor to handle subscription payments.

We may receive and store information such as:

  • payment processor customer identifiers;
  • subscription identifiers;
  • subscription status;
  • plan information;
  • trial dates;
  • billing-period information;
  • renewal information;
  • cancellation information; and
  • payment or billing status.

Record Time does not store full payment-card numbers or card security codes as ordinary application data. Payment-card information entered during checkout is provided directly to our payment processor.

Communications

If you contact us for support or otherwise communicate with us, we may collect information you provide, including your email address, contact information, and the contents of your message.

Technical and Usage Information

When you access Record Time, we and the service providers that operate our infrastructure may process technical information such as:

  • IP address;
  • browser type;
  • device type;
  • operating system;
  • request information;
  • timestamps;
  • pages or application routes accessed;
  • error or diagnostic information; and
  • other technical metadata generated when communicating with the Service.

Some of this information may be processed automatically by our hosting, database, authentication, email, or payment providers as part of operating their services.

Record Time does not currently use advertising pixels, behavioral advertising systems, session-replay software, or dedicated third-party behavioral analytics tools.

2. How We Use Information

We use information collected through Record Time to:

  • provide and operate the Service;
  • create and maintain customer accounts;
  • authenticate owners and employees;
  • associate employees with the appropriate business;
  • record and display employee work time;
  • calculate and display time totals;
  • allow authorized users to review and edit time records;
  • maintain edit history where applicable;
  • provide CSV data exports;
  • manage trials, subscriptions, billing, and cancellations;
  • send account, security, authentication, password-reset, and service-related communications;
  • provide customer support;
  • troubleshoot errors and maintain reliability;
  • protect the Service against unauthorized access, fraud, or abuse;
  • comply with legal obligations;
  • enforce our Terms of Service; and
  • maintain and improve Record Time.

We may use aggregated or de-identified information for legitimate business purposes, such as understanding Service performance or improving Record Time, provided the information does not reasonably identify an individual.

3. Businesses and Their Employees

Record Time is primarily a service provided to businesses.

When a business uses Record Time to collect and manage information about its employees or workers, that business determines how and why its workforce information is used.

The business is responsible for:

  • determining which employees or workers should use Record Time;
  • providing appropriate notices to employees;
  • obtaining any permissions or consents required by applicable law;
  • maintaining accurate employment and timekeeping records; and
  • complying with applicable employment, wage-and-hour, privacy, and recordkeeping laws.

If you are an employee whose information is maintained in Record Time by your employer, questions or requests concerning your employment or timekeeping records should generally be directed to your employer.

Because the employer controls those employment records, we may refer an employee's request to the applicable business or assist the business in responding where appropriate.

4. How We Share Information

We do not sell personal information for monetary consideration.

We may disclose or provide information to others in the following circumstances.

Service Providers

We use third-party service providers to operate Record Time. Current providers include:

  • Supabase — database infrastructure, authentication, and related backend services.
  • Vercel — application hosting and server infrastructure.
  • Stripe — subscription checkout, payment processing, billing management, and customer subscription services.
  • Resend — email-delivery infrastructure used in connection with authentication and transactional emails.

These providers may process information necessary to provide their services to us. Depending on the provider and interaction, this may include account information, email addresses, application data, payment-related information, IP addresses, browser/device information, request metadata, and technical logs.

We do not authorize these providers to use Record Time customer information for purposes unrelated to providing their services except as permitted by their agreements, policies, or applicable law.

Within a Customer's Business Account

Employee information and time records may be available to the business that created or manages the employee's Record Time access and to authorized users of that business account.

For example, authorized business users may view and edit employee clock-in and clock-out records.

Legal Requirements

We may disclose information if we reasonably believe disclosure is necessary to:

  • comply with applicable law, regulation, legal process, or governmental request;
  • investigate fraud, abuse, or security incidents;
  • protect the rights, safety, or property of Renlee Group LLC, Record Time, our customers, users, or others; or
  • establish, exercise, or defend legal claims.

Business Transfers

If Renlee Group LLC, Record Time, or relevant business assets are involved in a merger, acquisition, financing, reorganization, sale, or similar transaction, information may be transferred as part of that transaction, subject to applicable law.

5. Payment Processing

Subscription payments are processed by Stripe.

When payment-card information is entered during Stripe checkout or other Stripe-hosted payment experiences, that information is provided to Stripe.

Record Time receives and stores information necessary to administer subscriptions, such as customer and subscription identifiers, subscription status, billing-period information, plan information, and related billing status.

Record Time does not currently store complete payment-card numbers, card security codes, or raw payment-card details in its application database.

6. Email and Service Communications

Record Time uses email for communications such as:

  • account confirmation;
  • password resets;
  • authentication and security messages;
  • billing-related communications;
  • important Service notices; and
  • customer-support responses.

Authentication and transactional email delivery may involve Supabase and Resend.

Stripe may send certain payment, billing, subscription, or other transaction-related communications in connection with payment processing and subscription management.

We and our service providers may process the recipient's email address and information necessary to generate and deliver the applicable message.

Record Time does not currently operate a dedicated marketing-email campaign system.

7. Browser Storage and Similar Technologies

Record Time uses browser storage and similar technologies to provide and maintain application functionality.

Depending on how you use Record Time, information stored in your browser may include:

  • authentication or session information;
  • language preferences;
  • a remembered Company Code;
  • a current-session Employee Number;
  • temporary setup information;
  • application screen or workflow state; and
  • temporary signup or password-reset flow information.

Record Time currently uses both persistent and session-based browser storage where appropriate. Some information, such as certain preferences or a remembered Company Code, may remain in the browser between sessions. Other information, including certain authentication, employee, setup, and workflow information, may be limited to the current browser tab or session.

Owner passwords are not intentionally stored in browser storage by Record Time. Passwords entered into Record Time forms are used for authentication or password-reset purposes and are not deliberately saved by Record Time in local or session browser storage.

A Company Code and Employee Number may be used to access an employee's Record Time information and should therefore be treated as access credentials.

You may be able to clear browser-stored information through your browser settings, although doing so may sign you out, remove saved preferences, or require information to be entered again.

Record Time does not currently use browser storage for cross-context behavioral advertising.

8. Location Information

Record Time does not currently collect GPS coordinates, latitude or longitude, geofencing information, or other precise device-location information.

The current employee clock-in and clock-out process does not request access to the device's GPS or browser geolocation functionality, and Record Time does not currently attach precise location information to employee time punches.

Technical infrastructure may process an IP address as part of normal internet communications, but Record Time does not currently use GPS or precise device-location information as part of employee timekeeping.

If we introduce location-based timekeeping functionality in the future, we will update this Privacy Policy as appropriate to describe the information collected and how it is used.

9. CSV Exports

Authorized business users may export certain employee and timekeeping information from Record Time in CSV format.

These exports may contain information such as:

  • employee number;
  • employee name;
  • daily work hours;
  • weekly work-hour totals; and
  • issue or review indicators associated with time records.

CSV exports are generated for and downloaded by the business. Once an exported file has been downloaded to a customer's device or transferred by the customer to another system, the business is responsible for protecting, storing, sharing, and disposing of that copy appropriately.

Record Time does not control copies of exported information after they have been downloaded and are under the customer's control.

10. Data Retention

Record Time retains business, employee, timekeeping, edit-history, subscription, and related account information as necessary to operate the Service and maintain customer records.

Record Time does not currently automatically delete business, employee, or timekeeping records after a fixed number of days solely because a free trial expires, a subscription expires, a subscription is canceled, or an account becomes unpaid or inactive.

Employees may be deactivated or archived while their historical time records remain stored.

Timekeeping records and edit history may also remain stored after an employee is deactivated or a subscription ends.

Record Time does not currently provide an automated self-service process that permanently deletes all company data upon cancellation.

Information may remain stored until it is manually deleted, deleted as part of an account or company deletion process, no longer reasonably necessary, or otherwise removed in accordance with our operational, contractual, security, or legal requirements.

Businesses should maintain or export records they are legally required to retain rather than relying solely on Record Time as their permanent records archive.

We may establish more specific retention or account-deletion procedures in the future and update this Privacy Policy accordingly.

11. Data Security

We use reasonable administrative, technical, and organizational measures designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure.

Record Time also relies on security measures provided by our infrastructure and service providers.

However, no internet-based service, database, authentication system, or method of electronic storage can be guaranteed to be completely secure.

Business owners are responsible for protecting their account credentials and controlling access to their business account.

Businesses and employees should also protect Company Codes and Employee Numbers because those values are currently used to access employee Record Time information.

If you believe Record Time account information or employee access credentials have been compromised, contact us at support@getrecordtime.com.

12. Your Choices and Privacy Rights

Depending on where you live, applicable law may provide rights concerning your personal information, which may include rights to request access, correction, deletion, or information regarding how personal information is processed.

Business owners may contact us concerning information associated with their Record Time business account.

If your employer maintains your information through Record Time, requests concerning employment or timekeeping records should generally be directed to your employer because the employer controls those records.

Where appropriate, Renlee Group LLC may assist a business customer with requests concerning information processed through Record Time.

To make a privacy-related request directly to us, contact support@getrecordtime.com.

We may take reasonable steps to verify your identity or authority before fulfilling a request.

Certain information may be retained when required or permitted by law, including for security, fraud prevention, dispute resolution, legal compliance, or legitimate recordkeeping purposes.

13. Children's Privacy

Record Time is designed for businesses and workforce timekeeping and is not directed to children for personal or consumer use.

We do not knowingly solicit children to create consumer accounts with Record Time.

A business may employ workers who are minors where permitted by law. Businesses are responsible for ensuring that their use of Record Time for any worker who is a minor complies with applicable employment, privacy, consent, and recordkeeping requirements.

14. International Use

Record Time is currently intended primarily for businesses in the United States.

If you access Record Time from outside the United States, information may be processed or stored in the United States or other locations in which our service providers operate.

15. Sale of Personal Information and Advertising

Record Time does not currently sell personal information for monetary consideration.

Record Time also does not currently use personal information for cross-context behavioral advertising.

We do not currently use advertising pixels, behavioral advertising systems, session-replay software, or dedicated third-party behavioral analytics tools in the Record Time application.

If our practices change in a way that creates additional disclosure or choice requirements under applicable privacy laws, we will update this Privacy Policy and provide any required notices or choices.

16. Third-Party Services and Links

Record Time may interact with or provide links to third-party services.

Third parties operating independently from Renlee Group LLC may have their own privacy policies and practices. This Privacy Policy does not govern information that an independent third party collects directly from you outside Record Time.

17. Changes to This Privacy Policy

We may update this Privacy Policy as Record Time evolves or as legal, technical, or operational requirements change.

If we make material changes, we will provide notice as required by applicable law.

The effective date at the top of this Privacy Policy identifies when the current version became effective.
